GAS SAFETY

Landlord gas safety CP12 renewal: an access and appliance checklist

A smooth annual gas safety check starts with the right appliance list and a workable appointment with the occupier.

Gas engineer checking a boiler before issuing a safety record

Work back from the existing record

Landlords must arrange a gas safety check at least every 12 months for relevant appliances and flues they provide. Find the date of the last check and allow time to organise access, especially when a tenant needs notice or an agent holds the keys. Keep the existing record available so the engineer can see which appliances were included previously. The Health and Safety Executive explains the landlord's duties.

List appliances rather than rooms

A boiler, gas hob and gas fire are separate items for scoping the visit. State which gas appliances are present, where they are and whether any are disconnected or difficult to reach. Mention communal or unusual arrangements before booking. The engineer must be Gas Safe registered and qualified for the particular work; registration can be checked through the official register.

Separate a safety check from a boiler service

The gas safety record documents required checks and any safety defects found. Routine servicing and repairs are distinct pieces of work. If you want a boiler service at the same visit, ask for it explicitly so the scope and price can be confirmed. A certificate is not a promise that an appliance will remain fault-free for the whole year.

Plan how the record reaches the tenant

Following the check, existing tenants must normally receive a copy within 28 days; new tenants should receive one before moving in. Keep the record and any follow-up repair evidence together. The HSE's record guide lists the information that a gas safety record must contain.

To arrange a London visit, use our Gas Safety Certificate (CP12) service and provide the address, appliance count and access contact. If an appliance has already been flagged as unsafe, explain that before the appointment.
