The organisation responsible
Sachman Global Ltd, trading as London Property Reports, is the data controller for this website, its enquiries, booking records, payments, reviews and service administration. Our postal address is The Twenty One Building, 1st Floor, 21 Pinner Road, Harrow, Middlesex HA1 4ES. For a privacy request, write to info@londonpropertyreports.co.uk or call 020 3667 3353.
An assessor, engineer or other professional may have separate professional or legal duties for inspection evidence, certificate lodgement and regulatory records. Where they decide independently how to meet those duties, they may also be a controller for that limited use.
What comes into a case
Depending on your interaction, we may hold your name, email, phone number and billing details; the property address, postcode, type, size and service answers; booking preferences, access arrangements and messages; quote and order references; payment method, amount and status; invoices; and the completed report, certificate, link or related files.
If you write to us or submit a review, we hold the message or review details and any contact information you provide. Published reviews display the name, town, service, rating and text approved for publication; please do not include private contact or property details in review text. Security and hosting records may contain IP address, request and device information. The cookie policy describes storage on your device.
We generally receive this information from you. An owner, landlord, agent, tenant, colleague or access contact may also give us details needed to arrange a visit. The attending professional supplies inspection and delivery information. If you give another person's contact details, please ensure you are authorised to do so and let them know about this notice.
Why we use it and our legal grounds
- Enquiries, estimates and bookings: to answer a request, price a service, confirm scope and arrange attendance. We rely on steps requested before a contract or on performing the contract.
- Visits and delivery: to give the professional the property and access information needed, manage the job, and send the certificate or report. We rely on the contract and our legitimate interest in reliable service administration.
- Payment and records: to verify Stripe or pay-on-visit payments, issue invoices and meet tax and accounting duties. We rely on the contract and legal obligations.
- Unfinished bookings: to save progress, let you resume and send a limited service reminder where appropriate. We rely on our legitimate interest in helping customers complete a requested booking; you can stop reminders using the link in the email.
- Security and service quality: to prevent misuse, protect records, respond to complaints and establish or defend claims. We rely on our legitimate interests and, where applicable, legal obligations.
- Reviews: to check and publish a review you submit, relying on your submission and our legitimate interest in authentic feedback. You can ask us to reconsider or remove a review.
We do not require consent to unrelated marketing to obtain a quote or book. If optional analytics or advertising technology is configured, it is controlled by the separate cookie choice. Core contact, property and payment information is needed to process a booking; without it we may not be able to identify the job, arrange access or deliver the result.
An unfinished booking
Once you have entered contact details, the form can save progress so you can return. If it remains incomplete for 30 minutes, our team may be alerted. A team member may send a factual reminder after checking the context; every reminder includes a way to stop further reminders. An active incomplete draft is normally removed after 90 days of inactivity. A draft marked completed or closed is normally removed after 30 days. These periods can change where a complaint, legal requirement or genuine dispute requires a record.
Who may receive information
We share only what is needed with the professional carrying out the work; hosting, email, document and IT providers; Stripe for secure card payment; and relevant accreditation schemes or statutory certificate registers when a service requires them. An owner, agent, occupier or other person involved in access or the property transaction may receive relevant information where appropriate and authorised. Professional advisers, insurers, regulators, courts or public authorities may receive information where law or a legitimate claim requires it. We do not sell personal data.
Stripe collects card and authentication details directly on its hosted page. Our order record receives a checkout reference and payment outcome; it does not hold a complete card number or security code. If a provider handles information outside the UK, we require an applicable adequacy arrangement or another lawful transfer safeguard, such as the UK International Data Transfer Agreement or Addendum. Contact us to ask about the safeguard for a particular provider.
How long we keep records
Incomplete booking drafts follow the 90-day and 30-day periods above. Enquiries that do not become orders are kept only while needed for the enquiry and reasonable follow-up. Orders, invoices, payment evidence and core service records are normally kept for up to six years for tax, contract and dispute purposes. A certificate or attachment may be needed for that case period or longer where an accreditation, safety or legal requirement applies. Reviews stay published while relevant and accurate, unless removed earlier. Actual periods may differ where a legal claim, fraud concern or preservation requirement applies; when no longer needed, information is deleted, anonymised or taken out of routine use.
Security and your rights
We use HTTPS, access controls, protected server storage for delivered files, restricted admin sign-in and verification of Stripe webhook messages. Please do not send card details through an email or contact form. No internet service can promise absolute security; tell us promptly if you suspect improper access to your information.
Depending on the circumstances, you can ask to see your personal data, correct it, erase it, restrict its use, object to particular uses, receive certain data in a portable form, or withdraw consent where consent is the basis. You may object to direct marketing at any time. You may also object to processing based on legitimate interests; we will consider the objection and stop unless we have compelling grounds or need the data for a legal claim. We do not make solely automated decisions with legal or similarly significant effects about customers.
Email info@londonpropertyreports.co.uk with enough detail to identify the record. We may need to confirm your identity before releasing it. We normally respond within one month, subject to a lawful extension or exemption. You can complain to the Information Commissioner's Office if you remain concerned.
